1. General policy
Subscription fees are generally non-refundable except in the specific circumstances described below. This policy supplements the Terms of Service. In case of conflict, this policy prevails for refund-related matters.
2. Eligible refund circumstances
2.1 Duplicate charges
If you are charged more than once for the same billing period due to a payment processing error, we will refund the duplicate amount within 5 business days of confirmation.
2.2 Billing errors by Workswarm
If Workswarm charges an incorrect amount due to a pricing calculation error, rate misconfiguration, or seat count discrepancy, we will refund the overcharged amount upon verification.
2.3 Service outage exceeding SLA
If the Service availability falls below the SLA committed in your tier for a calendar month, you are entitled to a pro-rated credit or refund for the affected period. Credits are applied to the next invoice unless you request a direct refund.
2.4 Termination by Workswarm for convenience
If Workswarm terminates your subscription for its own convenience under Section 19.3 of the Terms, you will receive a pro-rated refund of any prepaid fees for the unused portion of your subscription term.
3. Refund process
- Submit a request. Email support@vriksha.ai with your tenant name, invoice number, and a description of the issue.
- Investigation. Workswarm will investigate within 5 business days and communicate findings to the Customer admin.
- Resolution. If the refund is approved, the amount will be returned to the original payment method within 7-10 business days. If declined, Workswarm will provide a written explanation.
4. Non-eligible circumstances
- Downgrading to a lower tier mid-cycle (change takes effect at renewal)
- Unused seats within the minimum seat commitment
- Cancellation after using the Service for the majority of a billing period
- Dissatisfaction with AI output quality (per the no-guarantee-of-accuracy clause in the Terms)
- Suspension due to the Customer's breach of the Acceptable Use Policy
5. Disputes
If you disagree with a refund decision, you may escalate to sachin@workswarm.ai. Disputes that cannot be resolved informally are subject to the arbitration provisions in Section 23 of the Terms of Service.
